Navigating healthcare marketing can be daunting, but utilizing tools that offer HIPAA-compliant solutions as well as a Business Associate Agreement (BAA) simplifies this process. These platforms protect patient information, ensuring that your marketing efforts don’t compromise protected health information (PHI). By choosing HIPAA compliant marketing tools, you can stop sweating through your polos and effectively execute your campaigns while remaining compliant.
With the right approach and tools, HIPAA compliance doesn’t have to be stress-inducing. Focus on strategies that respect patient privacy, utilize BAA-compliant platforms, and maintain clarity in your campaigns to foster trust and engagement while safeguarding sensitive information. Embracing these practices will not only protect your organization and patient data, it will lead to better marketing outcomes and higher return on investment.
Privacy First: Marketing Technologies That Prioritize HIPAA Compliance
Historically, selecting software to facilitate your healthcare marketing strategies has been a minefield. The best softwares didn’t offer the privacy protection that HIPAA bound entities needed to market with confidence and the HIPAA-complient programs seemingly lacked any sort of marketing benefit. Thankfully, the landscape has changed. The big marketing companies are recognizing that healthcare companies need to scale marketing on powerful platforms and have started to roll out HIPAA compliant solutions that are as robust and sexy as they should be!
We’ve been working in the space for over 20 years and have seen HIPAA compliant software platforms come and go. It was a struggle to create an ecosystem of software that balanced the privacy protection with the marketing features our clients need.
Now we have a carefully curated list of our favorites and are spilling the tea on how to hone these tools into a marketing system that will blow the lid off your goals.
Let’s start with the foundation of your marketing platform, the centralizing tool that will manage your marketing data, your CRM.
HIPAA-Compliant CRMs
HIPAA-compliant CRMs offer healthcare providers a secure platform to manage patient interactions while ensuring that sensitive information is handled in accordance with legal requirements. These systems are designed to safeguard Protected Health Information (PHI), which includes any data that can identify a patient, such as names, medical records, billing information, and more.
With the right HIPAA-compliant CRM, you can bypass the need for a specific CMS to manage your website and go with something that’s outfitted for SEO, like WordPress. To do this you need to choose a CRM that houses forms in addition to contacts, easy-peasy. Two of our favorite platforms offer forms that you can embed on your website anywhere you need them to collect patient AND potential-patient information in a HIPAA-compliant manner.
- Keap (formerly Infusionsoft) is an excellent option for smaller healthcare companies that need a multi-use CRM to manage data. The platform offers HIPAA-compliant landing pages and forms as well as automation workflows that can power your patient engagement and retention via email and text.
- HubSpot, by far our favorite all-in-one platform, now offers HIPAA-compliant solutions in their Enterprise level hubs. This is a great option if you’re a medium-to-large organization that wants to streamline, scale, and harness some more powerful sales and CRM capabilities.
While Salesforce has led the mid-market CRM race for quite some time, they’ve fallen behind on usability and features. HubSpot has closed the gap over the last couple of years in terms of functionality and adoption. I have been watching the G2 CRM grid below like a hawk over the last 2 years and, with the addition of the secure data options, I’m predicting that HubSpot square is going to land firmly in the leader spot in short order.
Marketing Automation & Email Marketing
Email marketing is an inexpensive and incredibly effective tool in your marketing arsenal and is often underutilized by healthcare companies. According to G2, 74% of Baby Boomers think email is the most personal channel to receive communications from brands, followed by 72% of Gen X, 64% of Millennials, and 60% of Gen Z. Overlooking or underutilizing email marketing is not an option, so let’s get you the right tools to execute your email marketing strategy well.
So, what platforms are HIPAA compliant you ask? There are so many options…here are a few from our techstack to consider:
- Constant Contact is great for small practices just starting out, but is quite limited in features and functionality. It’s got a nice drag-and-drop editor with template options, some basic automation features that allow for drip email marketing and some 101 level reporting.
- Keap is a great combo tool. If you’re using their CRM, their emails and automation are a great feature to use to streamline communication to leads and patients. Their reporting is very limited so if you want something to scale, look to…
- Hubspot… it’s our favorite by far. The new(ish) drag-and-drop editor makes it easy for small teams to build beautiful emails on their own but a larger outfit with a developer can fully customize templates with features and options to make them totally bespoke. Next level automation, A/B testing, and smart content make HubSpot the best option to scale and, OMG did I mention their reporting??? Sneak a peek at this health snapshot ↓↓
Marketing Analytics & Data Visualization
Arguably the most difficult part of HIPAA-compliant marketing is integrating all the data into a single place for reporting. Some organizations rely on platforms like Power BI or Tableau but they’re cumbersome and not as helpful with marketing analytics or insights. If you’re on a platform like Hubspot, most of your reporting will pull from there and it has some really awesome reporting and integration capabilities.
If you’re not ready for Hubspot, LookerStudio (by Google) supports HIPAA compliance (within the scope of the Google Cloud Platform Business Associate Agreement (BAA)). If you’re looking to centralize and visualize your marketing data all in one place, check LookerStudio’s integration list to pull in data from some of our favorite platforms like Semrush, GoogleAds, StackAdapt and more!
Bonus Tools: Reputation Management & Call Center Intelligence
If you’re really looking to level up your marketing efforts, there are a few extremely valuable strategies you should consider adding to your suite: reputation management by way of review generation, as well as front desk or call center tracking and intelligence.
There are some pretty great Reputation Management platforms out there that can help elevate reviews and ratings on platforms that patients rely on when choosing a healthcare provider. By actively asking for reviews on key sites like Google, Healthgrades, Vitals, and more, healthcare companies can appeal to more potential patients actively searching for care. A bonus is that Google will recognize and reward your stellar reputation by ranking you higher in search results!
We’ve worked with a number of review generation platforms and have found a that have some pretty great features:
- SocialClimb is a good starter tool for organizations that need to build up rankings or respond to reviews across multiple locations and providers. Aside from the Google Business Profile posting tool, it has limited digital marketing add-on features.
- BirdEye is an option we’re investing in heavily now. It has the power of Review generation, Listing Management, and Social Media Posting with some awesome modular features including Appointments, WebChat, Surveys, and more. If you’re looking for a scalable platform, this is a great option.
For our clients who want to level up from basic call tracking, and increase their patient booking percentages, we implement call intelligence.
- Liine is our preferred partner for AI-powered call recording and automation. With Liine, your appointment request forms can instantly be connected to a call center rep or front desk scheduler. Your team will be trained and managed to increase their call-to-booked ratios and the reporting and intelligence is unmatched.
Putting it Together: Designing a HIPAA-Compliant Marketing Ecosystem
Beyond the right tools, a successful HIPAA-compliant marketing ecosystem is dynamic and adaptable. Regular audits and assessments of marketing practices will help identify potential vulnerabilities and areas for improvement. Mapping this ecosystem out in the framework of a “Patient Journey”, as we’ve done in the image below, will help identify gaps in strategy and software, as well as opportunities to streamline, automate, and improve the flow of potential patients through their journey.
By integrating compliance into every facet of a marketing strategy and looking at the ecosystem from a 40 fit view, healthcare organizations can create a robust ecosystem that not only reaches but also resonates with patients. The balance of effective marketing and patient privacy is not just a regulatory requirement—it’s a commitment to ethical practices that ultimately enhances patient trust and loyalty. By putting these principles into action, healthcare marketers can thrive in a competitive landscape without compromising on compliance.
Choosing a Partner: HIPAA-Focused Marketing Teams
As healthcare organizations face increasing pressure to use innovative marketing strategies, choosing a partner that specializes in HIPAA compliance is vital. By prioritizing a marketing team well-versed in the complexities of healthcare regulations, organizations can successfully navigate the marketing landscape while maintaining the integrity and security of patient information. This strategic partnership ultimately leads to more effective marketing outcomes, fostering stronger relationships with patients and enhancing the overall reputation of the healthcare provider.
When selecting a marketing partner, it’s essential to prioritize teams that understand the intricacies of HIPAA regulations. This means not just having a basic awareness of data privacy, but demonstrating a comprehensive grasp of how these laws affect patient information sharing, advertising strategies, and overall communication practices. A reputable HIPAA-focused marketing team will have established protocols to safeguard patient data, ensuring that all marketing materials and campaigns are crafted with compliance in mind.
